Frequently Asked Questions
Straight answers on pricing, tax, security, and what Roo does and doesn't do today.
Getting started
What is Roo SalonOS?
Roo SalonOS is a point-of-sale, inventory, and appointment management platform built specifically for salons, hair studios, barber shops, and spas. It runs billing, stock, staff commission, customer loyalty, and business reporting in one system.
Who is it built for?
Independent hair salons and barbershops are the best fit, followed by beauty studios and spas with a similar mix of appointments, walk-ins, staff, and retail product. See Solutions for detail, including who it isn't the best fit for yet.
Do we need to install any software?
No. Roo runs in the browser on any device your team already owns — a desktop at the front desk, a tablet at the till, or a phone.
How long does setup take?
Most salons are ready to bill their first customer the same day. See How It Works for the four-step walkthrough.
Pricing & billing
Is Roo really free right now?
Yes — free for every salon until 31 December 2026, with full access and no card required, regardless of when you sign up.
What happens after the free period ends?
We agree on a rate directly with your salon before anything changes, and it's locked in fairly rather than raised later. There are no fixed tiers to choose between.
What happens if our account is suspended or we stop paying?
The account goes read-only — existing data is kept exactly as it is, but new sales, appointments, or edits are blocked until it's reactivated. Nothing is deleted on suspension.
Tax, receipts & data
How does VAT work in Roo?
Each branch has its own VAT configuration — inclusive or exclusive pricing, and its own Tax Registration Number — applied automatically at checkout, on the receipt, and in every report.
Can receipts be sent by WhatsApp?
Yes — alongside print and email, a receipt can be shared by WhatsApp. This opens a pre-filled message in WhatsApp itself rather than sending automatically from Roo's servers, so no separate WhatsApp Business integration is needed.
How is our salon's data kept separate from other salons on Roo?
Every business record belongs to one tenant account, and every request is scoped to that account's data using a server-verified login token — never a value the client app supplies. Financial figures like cost and profit are also removed on the server for roles that shouldn't see them, not just hidden in the screen.
Product mechanics
Can customers book appointments online themselves?
Not today — appointments are booked and managed by your staff on the front-desk screen. There's no public booking widget, which keeps your client list and booking history inside your own account rather than a third-party marketplace.
Can Roo handle more than one branch or location?
The underlying data model supports multiple branches per salon and a consolidated reporting view is planned, but the day-to-day screens for running more than one location from a single account aren't built yet. If you run more than one branch, contact us before signing up so we can advise honestly.
Does Roo track product expiry?
Yes, for any product where you turn on batch tracking — stock is drawn from the soonest-expiring batch first, automatically.
